1.Client Engagement Policy
●All policies and agreements follow the laws of India.
●All new inquiries are acknowledged within 48 hours of receipt.
●The firm may conduct an initial consultation meeting (in-person or virtual) to understand project vision and feasibility.
●Based on discussions, a formal proposal and fee quotation will be issued.
●The proposal outlines scope of work, deliverables, timelines, fee structure, and terms.
●A written proposal and signed agreement are mandatory before design work begins.
●The project officially begins only after signing the design agreement and receiving the initial payment.
●Any modification to the agreed scope shall be documented through a written addendum approved by both parties.
●All client communications shall be documented via email or official channels.
●Clients are encouraged to nominate a single point of contact (SPOC) to streamline communication.
●Design rights remain with the firm until full payment is received.
●Each project follows clear stages of design — Concept, Schematic, Design Development, Working Drawings, and Execution.
●Client approvals are required at each stage before proceeding further.
●Once a stage is approved, backtracking or redesigning beyond minor revisions will be considered an extra service and billed accordingly.
●Clients are required to review and respond within the specified timeline to maintain project schedules.
●The firm welcomes constructive feedback to enhance the design outcome.
●Revisions must be submitted in writing and consolidated (not in fragments) to avoid miscommunication.
●Up to two rounds of revisions are included per stage unless otherwise stated in the contract.
●Clients are responsible for providing accurate site information, existing drawings, and local authority data at project initiation.
●All statutory approvals, NOCs, and site-related permissions must be facilitated by the client, unless explicitly included in the firm’s scope.
●Vendor recommendations are made solely based on project suitability and quality.
●At the end of each project, a client satisfaction review will be conducted to assess experience, design quality, and service.
●The firm values long-term partnerships and provides priority support for recurring clients or additional property expansions.
●Either party may terminate the engagement with 15 days’ written notice, subject to settlement of dues and payment for completed work.
●The firm is not liable for maintenance, wear and tear, or misuse post-handover.
2.Design Ownership & Copyright
●All drawings, renders, and concepts are intellectual property of the firm until final handover and payment.
●Clients may not reproduce or transfer design materials to third parties without written consent.
●The firm reserves the right to publish project images for marketing and portfolio use after completion .
●Client data, design, and financial details shall be treated as strictly confidential.
●No information will be shared externally without prior written consent.
3.Fee and Payment Policy
Payment Structure: 90% of the total design fees must be paid upon delivery of all approved drawings.
Payments are structured in stages
●30%- Advance On the execution of this agreement for your engagement as a retainer
●30%- On preparing design & presentation drawings
●30%-On finalizing contracting agencies and providing working drawings & details;
●10% -Periodic supervision of the work till Terrace floor slab
Non-Refundable: All fees paid are strictly non-refundable once drawings and design documentation have been submitted.
Extra work or area addition beyond the agreed scope will attract additional fees.
4.Refund Policy
At Visionary Aarch Studio, we are committed to delivering high-quality architectural design and documentation services. To maintain fairness, transparency, and professional integrity, we follow a strict refund policy as outlined below:
Non-Refundable Fees
All fees paid are strictly non-refundable once any stage of drawings, concept presentations, or design documentation has been initiated or delivered.
This includes—but is not limited to—concept designs, mood boards, technical drawings, detail drawings, 3D renders, layouts, or any other form of design output.
Why Fees Are Non-Refundable
Our work involves significant time, expertise, creative effort, and resource allocation. Once the project begins, our team invests professional hours and intellectual property that cannot be reversed or resold.
Client Responsibilities
Clients are encouraged to:
✔ Carefully review all project details before confirming engagement.
✔ Fully understand the scope, timelines, and deliverables.
✔ Communicate clearly to avoid misunderstandings.
Project Pauses or Cancellations
●If a client chooses to pause or cancel the project after work has begun:
●No refund will be provided.
●Any pending dues for completed stages will still be payable.
Changes & Revisions
Revisions are governed as per the mutually agreed scope of work.
Any additional work outside the defined scope will be billed separately.
Exceptional Conditions
In rare, exceptional cases where the firm chooses to offer a goodwill adjustment or partial credit, this will be solely at the discretion of Visionary Aarch Studio and not an obligation.
5.Scope of Site Visits
The firm shall provide a total of four (4) site visits during the entire project duration.
Any additional site visits requested by the client beyond the included four (4) will be chargeable separately.
Distance from Mumbai (approx. Up to 80km only 4 visits included .
Within Maharashtra (Outstation) 80 km – 400 km from Mumbai only 2 visits included (depending on project stage). All additional visits chargeable with travel, stay, and logistics.
●Outside Maharashtra Beyond 400 km only 1–2 visits included (usually concept & completion stage) All additional visits chargeable with travel, stay, and logistics.
●Day-to-day site supervision, contractor coordination, and progress monitoring shall be handled by the client’s appointed site engineer or contractor.
●For virtual coordination The firm provides periodic site reviews and coordination via online meetings, calls, and emails between physical visits.
●Any work executed on-site without written approval from the firm voids the design warranty and liability.
Additional Site Visits:
The studio provides up to four (4) site visits as part of the agreed scope. Any site visit beyond the four (4) will incur an additional charge.
Data Retention:
Visionary Aarch Studio will retain client project data and drawings for a maximum period of two (2) years from the date of project completion. After this period, data may be securely deleted or archived without notice.
